Important Updates on CollabTech Commons (formerly Multimedia Learning Centre)

Located in the CollabTech Commons on Level 4 of the Main Library, the Prototyping Room provides a range of facilities for integration into curricula and for individual projects:

Booking

The Room can be reserved:

  • By HKBU staff and students
  • Who have completed the safety and operational training and passed the test on Moodle
  • Only for educational and non-commercial purposes
  • Once per day and a maximum of 3 times per week

Available Booking Slots (Trial Period):

During the trial period, users may only book the following time slots.

Monday to Friday
(except public holidays)
10:30 a.m. – 11:30 a.m.
2:30 p.m. – 3:30 p.m.
4:00 p.m. – 5:00 p.m.

Program Trainers who have completed the Library’s Train-the-Trainer Program may email us to request additional slots, provided they fall within normal office hours (weekdays 9:00 a.m. – 5:30 p.m.).

General Notes:

  • Bookings must be made online here at least 3 working days in advance.
  • We reserve the right to cancel your booking if you do not arrive within 15 minutes of the scheduled start time.
  • A maximum of 4 users will be served per session. All users must present their student or staff card upon entry for eligibility verification.
  • No walk-ins are allowed.
  • Every successful booking also reserves dedicated library staff assistance in the Room; therefore, no-shows are highly discouraged.

Specific Notes on Booking:

  • You must indicate which 1 or 2 pieces of equipment will be used during the session, and only the selected equipment will be operated.
  • Please upload your file(s) on OneDrive and share the access with lib-ctc@hkbu.edu.hk for review at least 3 working days before your booking. If the file(s) contain major issues that prevent proper processing by the machine, we will notify you and cancel the booking if necessary. This avoids an unnecessary trip to the Library.
  • No refunds will be provided for materials purchased from the Library if processing fails due to file problems. It is always your responsibility to ensure the readiness of your files so you can fully utilize the session.
  • You may request in-person training during your session if this is your first time using the equipment.

Material Costs & Payment

  • Using some equipment requires material charges.
  • Only online payments are accepted. No refunds will be provided.

User Conduct

You must not:

  • Use the room or operate any machine without supervision and explicit consent from Library staff (or qualified Program Trainers).
  • Bring any flammable materials into the room.
  • Wear headphones, as they may prevent you from hearing emergency announcements or safety warnings.
  • Attempt to adjust, remove, or repair any components of any machine yourself.

Safety Requirements

  • Strictly follow safety rules specific for each machine and take full responsibility for your own safety. The Library accepts no responsibility for any injury.
  • Ensure the room’s filtering system is on.
  • Familiarize yourself with the locations of the fire extinguisher, first-aid kit, and all other fire and safety equipment in the room.
  • Tie up long hair, remove necklaces, avoid loose clothing (e.g. loose cuffs or long scarves), and wear closed-toe, non-slip shoes for your own protection. The Library reserves the right to request suitable attire.
  • Do not store personal, private, or confidential data on the workstation, or leave valuables unattended in the room. Files are deleted regularly, and unattended items will be removed without notice. The Library accepts no responsibility for data loss/leakage or loss/damage to personal items.

Courtesy and Proper Use

  • Take good care of all equipment.
  • No eating or drinking.
  • Keep the room neat and tidy and walkways free of obstructions. Messy floors are dangerous when users walk through. Clean up after using any equipment.
  • Use all equipment responsibly and only for lawful purposes. The following are strictly prohibited:
    • Fabricating, printing, or cutting discriminatory, offensive, harmful, or illegal content
    • Producing items that infringe intellectual property rights
    • Creating weapons or objects that pose safety risks
    • Generating content unsuitable for a shared environment
  • Observe the Library’s Conduct of Users policy.

The Library reserves the right to require you to undergo hands-on training, even if you claim to be an experienced user.

The Library also reserves the right to refuse or terminate any session—by pausing your work or cancelling your reserved session—and to require you to leave the room and the Library immediately.
